Clipilote respects your privacy and is committed to protecting your personal data in accordance with the GDPR.

Data collected

  • Identity and contact: email, first name, last name, avatar (optional).
  • Files and content: audio/video files, transcripts, summaries, metadata.
  • Technical data: truncated IP addresses, user-agent, login and device logs.
  • Payments: Stripe identifiers (no card data is stored by us).
  • Communication: transactional emails (registration, invoices, notifications).

Purposes

  • Authentication and security (magic links, device management, abuse prevention).
  • Transcription and AI enhancement of your files.
  • Billing, subscription/credits management and legal obligations.
  • Service improvement and support.

Legal basis

  • Performance of the contract (service and payment).
  • Legitimate interest (security, improvement).
  • Consent (non-essential cookies, marketing communications where applicable).

Retention periods

  • Account and profile: as long as the account is active.
  • Files and transcripts: until deletion by the user or deletion of the account.
  • Security logs: maximum 12 months.
  • Billing data: 10 years (accounting obligations).

Recipients and processors

  • AWS/MinIO: hosting and storage (EU region when possible).
  • Stripe: payments and billing.
  • OpenAI: transcription and AI enhancement.
  • Email provider (SES / Nodemailer): transactional emails.

Transfers outside the EU may occur (e.g. OpenAI, Stripe). They are governed by appropriate transfer mechanisms (standard contractual clauses, supplementary measures).

User rights

You have the rights of access, rectification, deletion, restriction, objection and portability.

  • Deletion of the account and your files.
  • Download your data (e.g. transcripts).
  • Rectification of information (email, profile).
